2 · what we collect

When you place an order or contact us, we collect:

• Identification data: name, delivery address, billing address, email, phone number.
• Order data: products ordered, configuration details, order value, payment method. We never store full card or bank details.
• Communication data: any messages you send us by email, form, WhatsApp, Signal or Instagram.
• Technical data: IP address, browser and device type, pages viewed. Collected automatically through Shopify’s built-in analytics.

3 · why we use it (legal basis)

• To fulfil your order (Art. 6(1)(b) GDPR: contract): process orders, arrange delivery, handle returns and warranty claims.
• To meet legal obligations (Art. 6(1)(c) GDPR): keep financial records for 7 years as required by Dutch tax law.
• To communicate with you (Art. 6(1)(b) or 6(1)(f) GDPR): respond to your questions, send order confirmations.
• To improve the site (Art. 6(1)(f) GDPR: legitimate interest): understand how visitors use www.outil.li via anonymised analytics.
• Marketing (Art. 6(1)(a) GDPR: consent): only if you opt in to our mailing list. You can unsubscribe at any time via the link in every email.

4 · who we share it with

We share the minimum necessary data with:

• Shopify Inc.: our e-commerce platform and hosting provider.
• Mollie B.V.: to process payments (iDEAL, card payments). We never see or store your full card or bank details.
• Shipping carriers: to deliver your order.
• Mailchimp (Intuit Inc.): to send occasional newsletters, only if you have opted in.
• Our accountant: for bookkeeping and tax compliance.

We do not sell or rent your data to third parties.

5 · international transfers

Shopify Inc. is based in Canada (recognised by the European Commission as providing adequate protection) and processes some data in the United States under Standard Contractual Clauses. Mailchimp (Intuit Inc.) is based in the United States, operating under Standard Contractual Clauses. Where EU personal data is transferred outside the EEA, we rely on the legal safeguards required by GDPR Chapter V.

6 · how long we keep it

• Order and invoice data: 7 years (Dutch tax law).
• Contact / correspondence: up to 2 years after last contact, unless tied to an open order or warranty claim.
• Mailing list: until you unsubscribe.
• Analytics: retained by Shopify per their own privacy policy; we do not keep separate copies.

7 · your rights

Under GDPR you have the right to:

• Access the personal data we hold about you.
• Rectify data that is incorrect or incomplete.
• Erase your data (“right to be forgotten”), subject to our legal retention obligations.
• Restrict or object to processing in certain circumstances.
• Data portability: receive your data in a machine-readable form.
• Withdraw consent where processing is based on consent.
• Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

8 · cookies

Our site uses only the cookies set by Shopify:

• Strictly necessary: to run the shopping cart and checkout.
• Anonymous analytics: to measure aggregate traffic. No personal profiles are built and no data is shared with third-party advertising networks.

We do not use marketing, retargeting, or social-media tracking cookies. You can manage or block cookies in your browser settings; blocking the strictly necessary cookies may prevent checkout from working.

We use industry-standard security measures to protect your data, including encrypted payment processing via Shopify and Mollie and SSL on www.outil.li. No system can be guaranteed 100% secure; please contact us immediately at contact·at·outil·li if you suspect your account has been compromised.

We may update this policy to reflect changes to our practices or legal obligations. The version date at the top of this page indicates when it was last updated. Material changes will be communicated via the site or by email.
